An owner shopping for a manager can call another company as soon as a call rolls to voicemail, and the next company on the list may get the conversation. This puts a number on that, using your own call volume and close rate.

How the math works

  1. Missed owner calls per month = owner calls x percent missed.
  2. Owners lost per month = missed calls x share of missed callers who never come back x your close rate.
  3. Doors lost per year = owners lost per month x 12 x average doors per owner.
  4. Annual revenue lost = doors lost per year x monthly revenue per door x 12.
  5. Lifetime revenue lost = annual revenue lost x average years an owner stays.

How to use the result

Your phone system can tell you the missed-call rate by hour and by line. Look at when owner calls are missed, not just how many. Check lunch hours, Monday mornings and after 5 p.m. first. A shared line or a call-routing rule can close those gaps. Pair it with the owner lead follow-up playbook.

How do I know what share of missed callers never come back?
Pull 30 days of missed calls from owner-facing lines and check how many of those numbers called back or became a lead within a week. That is your real return rate.
Does a voicemail count as a missed call?
Yes. A voicemail you return quickly is better than no voicemail, but the caller still did not reach a person and may have dialed the next company.
Should I separate owner calls from tenant calls?
Yes. Owner calls are where new revenue comes from, so give owners their own number or menu option and measure it on its own.
